HOW IT WORKS

Every step, from the counter to the report

A loyalty programme only works if staff can run it during a busy shift and customers understand it in five seconds. Here is exactly what happens, in the order it happens.

The whole flow

  1. You request setup, we reply

The form asks for the essentials: business name, contact, country, how many locations, and what you have in mind. A person reads every request and replies. Nothing is charged by sending it.

  2. We build the programme with you

We help you decide whether stamps or points suit your industry. Stamps count visits towards the reward; points count what the customer spends, at the earning rate you set. Together we choose the reward threshold and card design, and which locations take part. Staff get scanner access; owners and managers can change programme settings.

  3. You get a QR code for the counter

The same code works on a table card, a receipt, a window sticker or your website. A customer scans it once to join; after that they show their own QR code when they visit.

  4. A customer joins in seconds

First name, email, agreement to the terms. They get their card by email and keep that link. The card shows their balance, how many stamps they still need, and how many rewards they have already earned.

  5. Staff stamp with one scan

Staff sign in on a phone and open the scanner. Scanning the customer's card adds the stamp. A repeated scan inside a short window is refused rather than silently counted, and a manager can add a correction afterwards with a reason.

  6. The reward, then the reason to return

When the card is full the reward is ready. You can also set a milestone: extra stamps every time a customer finishes an agreed number of cards. Customers who opted in get a win-back email after a set number of days away, and a neutral review request after a set number of visits.

What each person sees

The customer

Their own card link: balance, progress towards the reward, the reward itself, and their visit history over the last twelve weeks as a small chart. No account password to remember — the link is the card.

The staff member

A scanner, and the customer list for the business. Nothing else: no settings, no exports, no numbers. If a staff member opens a manager page by typing the address, they are sent back to the scanner, and the database refuses the request as well.

The owner or manager

The dashboard (visits, new members, redemptions, repeat rate, milestones, win-backs), the rewards programme, staff and locations, the monthly report, and the CSV exports — each download recorded against their account.

What it does not touch

Your payments. Autivia is not a till and not a card reader: it does not connect to your payment terminal and no amount arrives from it. On a points programme the amount is the one staff key in at the counter when they record a purchase, and there is no POS integration to install.

Your customer data beyond the programme. You see the members who joined your loyalty programme, and the exports are logged so that stays accountable.

Anyone who did not ask for email. Win-back emails and points-expiry reminders only go to customers who opted in, and each carries an unsubscribe link. Review invitations appear on the browser card.

Practical questions

What happens if a customer loses their card link?

They can open the private card link in their original email. Scanning the till QR again opens signup, where the same email recognises their existing membership. It does not automatically open their private card. If they cannot find the email, they can ask staff for help.

Can two locations share one programme?

One active programme runs per business. Its locations share the programme rules and member records. We agree the locations during setup and confirm any additional charges before adding them.

What happens if a scan fails?

The stamp is recorded either way, and a manager can adjust a balance with a written reason. Every adjustment is kept in the customer's history, so a disputed stamp can be traced.
